  • Overview

     

     

    Responsibilities

    • Responsible for answering phones & directing calls, greeting visitors
    • Maintaining conference room and training room scheduling, IT operations and cleanliness.
    • Order office and kitchen supplies
    • Order catering as needed for client and office meals
    • Lead coordinator of office team building/social events
    • Process American Express reports for managers
    • Administrator for office BD efforts – Main POC for all CRM updates/maintenance
    • Professional Association membership & attendance/license coordination
    • Financial coding and client billing assistance
    • Creating project files using Bohler Standards and maintain files using internal database.
    • Various project assistance (transmittals, production of reports, binding and collating materials to prepare for submissions)
    • Assist managers with project status & budget updates
    • Submit monthly invoices to clients, assist managers with following up with clients on outstanding invoices
    • Calendar/ Meeting Coordination
    • Identify and develop relationships with key internal and external client contacts
    • Other duties as assigned

     

    Qualifications

    • Associates degree in a related discipline preferred
    • Proficiency with MS Office (Word, Excel, Outlook)
    • 3+ years of experience supporting Management level
    • Ability to handle confidential documents and information with discretion and in a professional manner
    • Strong verbal and written communication skills (excellent spelling, grammar and proof-reading skills)
    • Experience with technical writing (transcribing, formatting technical reports & letters)
    • Self-starter with strong multi-tasking and follow-up skills. Ability to prioritize. Good time management skills and proactive approach
    • Strong attention to detail while maintaining consistent work flow and meeting deadlines
    • Ability to work independently as well as part of a team
    • Excellent customer service skills to represent the organization with clients, affiliates and outside agencies and to efficiently obtain needed information
