Responsibilities

  • Answering multi-line phones and directing calls
  • Greeting, announcing and directing visitors
  • Managing the general office calendar
  • Catering orders for meetings, celebrations, and other office activities/events
  • Assisting in the reconciliation of American Express reports by keeping an organized system of receipts
  • Distributing USPS mail, and preparing FedEx shipments
  • Ordering, stocking, and tracking inventory of office supplies
  • Maintaining and stocking common spaces, such as conference rooms, kitchen, etc.
  • Opening and closing the front desk and reception area
  • Document processing in MS Word and project tracking in Excel
  • Other duties as assigned

Qualifications

  • Pleasant, friendly, cheerful, energetic, outgoing and professional demeanor
  • High School Diploma or equivalent
  • 1-2 years receptionist experience
  • Ability to handle confidential documents and information with discretion and in a professional manner
  • Strong verbal and written communication skills, including spelling,grammar and proof-reading skills
  • Proactive self-starter with strong multi-tasking, prioritization and follow-up skills
  • Strong attention to detail while maintaining consistent work flow and meeting deadlines
  • Ability to work independently as well as part of a team
  • Ability to work under minimum supervision & resolve issues independently based on project/company standards and verification of facts prior to releasing documents to client or outside agencies
  • Excellent phone and customer service skills to represent the organization and provide service to clients, affiliates and outside agencies
  • Ability to quickly absorb new information and build on newly-acquired skills
