Responsibilities

  • Work independently with minimal supervision, anticipate needs of department/manager and respond proactively
  • Managing data entry and creating/running reports within CRM system
  • Calendar management, including scheduling meetings, making travel arrangements
  • Process travel and other expenses
  • Communicate effectively with all levels within the organization, including senior leadership and clients
  • Organizing, planning, and providing support for meetings including developing agenda, taking accurate meeting minutes, creating action items, and scheduling deliverables with applicable team members
  • Handling client discovery & research
  • Document and information management and filing
  • Reviewing and editing documents to ensure accuracy and quality
  • Compiling and/or integrating information needed to complete reports and documents
  • Other duties as assigned

Qualifications

  • 10+ years’ of administrative experience (5+ years’ experience supporting executives preferred)
  • Thrive in a fast-paced environment with tight deadlines and frequent interruptions
  • Strong computer skills including proficiency with Adobe, Microsoft Word, Excel, PowerPoint,  Outlook, and web-browsers; familiarity with CRM system a plus
  • Superb communication skills, both written and verbal
  • Ability to be proactive, prioritize tasks, and competently multi-task in a fast-paced environment with many deadlines
  • Outstanding planning, time management, and exceptional organizational skills, with a meticulous attention to detail
  • Ability to manage internal and external client communication in a professional, confident manner
  • High-energy and a desire to embrace and nurture our growth goals
  • Ability to visualize and plan objectives and goals strategically
  • Excellent interpersonal skills and customer service orientation
  • Professional teamwork/team building skills
